What are automatic state changes
Automatic state changes make a document forward automatically through a determined transition depending on certain conditions established by the application's administrator when configuring the category.
When can automatic state changes occur
The application's administrator can configure automatic state changes based on the date of a field, or when the document has spent a determined number of hours, days or months in a particular state or reaches a determined date.
In each case, the application's administrator ought to provide this information to users as there is no way of knowing which categories have an "auto forward" configured.
How to know which documents have auto forwarded a state
When a document auto forwards the "Modified" column of the results list shows "R2 Auto forward".
The sample image below shows several documents which have auto forwarded modified by "R2 Auto forward".
How to know why a document has not auto forwarded a state
If the document cannot auto forward for any reason, the "State changes" tab of the document's Properties will show the auto forward attempt marked in red and the cause of the error.
The image below shows auto forward errors because there are mandatory fields in the destination state which have not been filled out.
